The Claiborne Parish Assessor’s Office is helping residents better understand what happens behind the scenes when property is bought, sold or otherwise transferred to a new owner.
According to the assessor’s office, the property ownership transfer process begins when a deed, sale document or judgment of possession is filed with the Claiborne Parish Clerk of Court. Once filed, the document becomes part of the parish’s official archives.
During the recording process, the clerk assigns the document a registry number, records the date and time it was filed, scans the document and indexes it into the Mortgage and Conveyance system.
The Assessor’s Office then monitors recorded filings to identify changes in property ownership. Information such as the conveyance book and folio number may be used to complete the transfer in the assessor’s property records.
Once the ownership information has been verified, the assessor updates the property record to reflect the new owner, including information used for property tax assessment purposes.
The final step may involve an assessor’s office representative visiting the property or using information contained in the recorded documents to make necessary updates to the parish tax rolls.
The Claiborne Parish Assessor’s Office shared the information as a resource for residents who may be preparing to buy or sell property and want to better understand how ownership records are officially transferred and updated.
